Job Summary

Provide advanced administrative support for a complex department. Responsible for a high volume of administrative duties. Requires a thorough knowledge of University policies and procedures, initiative and the ability to make decisions relative to office operations. Requires the ability to exercise judgment within areas of delegated responsibility.

Minimum Education and Experience

Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

Preferred Education and Experience

Familiarity with PeopleSoft and previous experience as an Administrative Assistant I or II at UT Dallas.

Essential Duties and Responsibilities

• Assume administrative duties for department head;
• Maintain and monitor financial records;
• Prepare purchase orders, vouchers, deposits, transfers of funds and other expenditures;
• Maintain staff employment records and function as liaison to budget, human resources, payroll, fiscal and other units;
• Process student payroll;
• Invoice advertising clients and oversee collections;
• Reconcile multiple cost centers within PeopleSoft system;
• Coordinate travel for department’s staff and students;
• Maintain calendars and schedules meetings;
• Other duties as required.
