Job Summary

Under the general direction of the Payroll Manager, the Payroll Specialist I provides technical skills required in the processing of payrolls and related data within a highly technical payroll system. Responsible for preparing and submitting payrolls and related monthly reports.

Minimum Education and Experience

- Associate Degree
- Three (3) years payroll experience
- Two (2) years experience with Peoplesoft or similiar HRIS systems.

Preferred Education and Experience

Bachelor’s Degree in Business or a related field
Experience processing payroll in a Texas higher education setting
Experience with faculty salary spread (9 over 12 payments), non-resident alien taxation and student FICA exemptions and TRS deduction processing
PeopleSoft Payroll for North America and Time and Labor experience
Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)

Essential Duties and Responsibilities

Assists in the planning, organizing, and coordinating the various activities of processing payroll for employees paid monthly (5000+), semi-monthly (1500+), and retiree as well as related off cycle payments.
Accurately calculate and enter payroll data necessary to process pay for new hires, terminations, adjustments, deductions and vacation payout amounts.
Process miscellaneous awards, payments, taxable adjustments and other additional pay items.
Assists in managing time and labor process, including validating that data is correctly sent from time and labor to the pay sheets for payroll processing.
Maintain and support the time and labor system and related business processes including investigating, testing and resolving, time and labor issues, assisting campus with submitting and approving time as well as explaining compensatory time calculations and resolving compensatory time issues.
Process and maintain records for Direct Deposit setup as well as W-4 withholding information.
Assist employees in completing Direct Deposit and W-4 information online.
Respond to internal client inquiries regarding accounting and payroll transactions, regulations, laws and policies with a customer focused attitude.
Respond to internal client inquiries regarding payroll deductions including TRS and other benefit deductions.
Explain the taxability and calculation of these deductions.
Process garnishments which include child support, tax levy, student loans and other wage garnishments.
Analyze and validate data for accuracy and initiate corrective action when necessary to ensure compliance with applicable regulations and policy.
Approve electronic personnel forms for additional pay processing.
Assist in year-end processing of W-2s. Explain taxability of wages and what information is applied to each box of the W-2.
